Use a simple call note
Date and time: ________
Adjuster and contact: ________
Claim number: ________
Documents promised: ________
Questions requiring follow-up: ________
Expected response date: ________
Next action I agreed to take: ________
After the call, send a short email confirming the documents and dates. If something was misunderstood, the adjuster can correct the record. Keep the note with the rest of the claim file.
What to do with the answers
If the problem is in the report, use the valuation audit. If you have supported corrections, put them in the counteroffer format. If the disagreement is about value after corrections, review whether an independent appraisal is worth the cost.
